Construction Project Coordinator/ Administrator

This is a unique opportunity to join the in-house construction team of a private family office at an early stage of growth.

The business has a solid pipeline of its own private development projects and is now also delivering work for third-party clients. As the team scales, they’re hiring a Construction Administrator / Project Coordinator to help build the foundations that will support their long-term growth.

You’ll be joining a growing construction business where processes, systems, and standards are actively being shaped.

Working closely with Project Managers and Superintendents, you’ll sit at the center of live projects by owning administration, documentation, and financial workflows across commercial interior and high-end residential projects. This is a role for someone who wants to be on the ground floor and involved as the operation expands.

You’ll be responsible for keeping projects organized and moving, including:

  • Managing subcontracts, vendor agreements, and subcontractor onboarding
  • Tracking submittals, RFIs, change orders, and close-out documentation
  • Coordinating document flow between owners, design teams, subcontractors, and internal staff
  • Supporting budgets, cost tracking, invoices, owner billing, and monthly reporting
  • Assisting with client communication, project meetings, and action-item tracking
  • Maintaining accurate project records within construction management software

About You:

  • 3-5+ years in construction administration, project coordination, or Assistant Project Manager role
  • Experience working with NYC based GC/ CM's
  • Strong working knowledge of construction management software (e.g. Procore, Autodesk Build, CMiC)
  • Advanced Excel or Google Sheets skills
  • Familiarity with AIA documentation and contract structures
